Lixibox is a full-stack one-stop omni-channel solution for luxury affordable brands to reach GenZ consumers in Vietnam, one of the fastest-growing regions in the world. We focus on optimizing operations by leveraging an in-house agency and the in-house technology solutions to bring the most effective brand launching that would benefit the end consumers.

The Sales Admin will be responsible for overseeing the order processing, returns, refunds, and customer service coordination, as well as financial statements, product listings, and collaborations with internal teams to deliver products & contracts to KOL/KOCs. You will act as a liaison between various internal teams & external teams (Tiktok Shop, KOL/KOCs) to ensure smooth operations and customer satisfaction on the TikTok Shop platform.

RESPONSIBILITIES:

1. Customer Service Coordination:

  • Oversee and process return/refund orders in coordination with the CS team.
  • Review orders for any special requirements such as gifts, potential late shipments, and address any customer concerns.
  • Resolve issues related to wrong status, lost items, or incorrect item orders.

2. Product Returns and Defects:

  • Manage and process defective product returns with the Warehouse team, ensuring quality control and customer satisfaction.

3. Financial Management:

  •  Export financial statement files and handle money withdrawals in collaboration with the Accounting department.
  • Address and resolve any order-related issues in conjunction with the Accounting team.

4. Product Shipping and Sampling:

  • Coordinate the shipping of product samples to KOCs, KOLs, and MCNs, working closely with the Warehouse and Accounting departments.

5. Product Listings:

  • List new products and gifts on the TikTok Shop platform, ensuring accurate and appealing presentations.

6. Contract and Payment Processing:

  • Execute contracts and manage payments with KOCs, KOLs, and MCNs, ensuring timely and correct transactions.

7. Data Management:

  • Regularly update and maintain raw data related to in-house live-streaming activities.

 

REQUIREMENTS:

  • Proven experience as a Sales Admin or a similar role.
  • Familiarity with TikTok and other social media platforms, especially in an e-commerce context.
  • Strong understanding of order processing, inventory management, and customer service best practices.
  • Excellent communication and coordination skills to work effectively with various teams.
  • Ability to manage time efficiently in a fast-paced environment.
  • Detail-oriented with a focus on accuracy and problem-solving.
